RAPA Executive Board Positions Description of Roles 2011-2012

President

Work with the Administration and the Board to establish the organization’s goals for the year. Communicate regularly with the Heads of School, acting as liaison between parents and Administration. Conduct monthly RAPA Board Meetings and RAPA General Meetings. Represent RAPA at various school functions. Provide support and guidance for the Members of the Board.

Secretary

Attend monthly RAPA Board meetings and RAPA General Meetings. Prepare written minutes of these meetings for distribution. Oversee the calendar and work with Administration and RAPA President to coordinate calendars.

Treasurer

Attend monthly RAPA Board meetings and RAPA General Meetings. Receive periodic reports from event chairpersons. Distribute annual dues to Class Representatives and follow-up at year end to collect and consolidate unused cash. Maintain financial records, communicating closely with the Accounting Office to oversee deposits and disbursements. Prepare year-end report. Deliver petty cash as needed for events. Collaborate with Fundraising VP (should said VP be appointed) to track and evaluate fundraising efforts throughout the year.

Fundraising VP (as deemed necessary pursuant to RAPA by-laws)

Attend monthly RAPA Board Meetings and RAPA General Meetings. Collaborate with Treasurer to track and evaluate fundraising efforts throughout the year. Oversee the Chairpersons of RAPA Fundraising Programs to make certain that these events are properly planned and executed. Meet regularly with fundraising event chairs and report regularly to Treasurer. Provide monthly update to RAPA Board.

Upper School/Middle School/Lower School/Preschool VP

Attend monthly RAPA Board meetings and RAPA General Meetings. Meet regularly with respective Heads of School. Communicate on an ongoing basis with Class Representatives and act as a liaison between Class Representatives, RAPA Board and Administration. Work to build a strong community within each division. Encourage Class Representatives to engage their parent groups and to organize social gatherings for class parents. Facilitate parent support of classroom and school-wide needs on an ongoing basis.
